Account Information
- Name, email address, job title
- Company name, industry, size, country
- Phone number (optional)
- Password (encrypted, never stored in plain text)
Company Data (AI Department)
- Organisation chart (departments, team members, roles)
- AI employee configurations (instructions, personality, authority levels)
- Knowledge base documents you upload
- Conversation history between your team and AI employees
Usage Data
- AI usage metrics (messages sent, tokens used)
- Feature usage and interactions
- Browser type, IP address, device information
- Cookies and session data
Payment Data
- Billing information is processed securely by Stripe
- We do not store your credit card numbers on our servers
3. How We Use Your Data
- Provide services: Power your AI agents, process messages, deliver responses
- Improve the platform: Analyse usage patterns to enhance features and performance
- Communicate: Send service updates, billing notifications, and support responses
- Security: Detect and prevent fraud, abuse, and unauthorised access
- Compliance: Meet legal obligations and respond to lawful requests
We do NOT:
- Sell your data to third parties
- Use your data to train our own AI models
- Share your conversations or knowledge base with other customers

5. Data Retention
- Active accounts: Data is retained for the duration of your subscription
- After cancellation: Data is retained for 30 days, then permanently deleted
- Conversation logs: Retained for up to 12 months for service improvement, then deleted
- Billing records: Retained for 7 years as required by UK tax law
- You may request immediate deletion at any time (see Section 7)
6. Your Rights
You have the following rights regarding your data:
- Access: Request a copy of all data we hold about you
- Correction: Update or correct inaccurate information
- Portability: Export your data in a machine-readable format
- Restriction: Request that we limit processing of your data
- Objection: Object to processing for marketing or profiling
- Deletion: Request permanent deletion of your account and all data

7. Account Deletion
🗑️ You can delete your account at any time
When you delete your account, we permanently remove:
- Your user account and profile
- Company information and organisation chart
- All AI employee configurations
- All conversation history
- All uploaded knowledge base documents
- All billing data (except records required by law)
This action is permanent and cannot be undone.
8. Cookies
- Essential cookies: Required for authentication and basic functionality
- Session cookies: Maintain your login state
- We do not use advertising or tracking cookies
- You can manage cookies in your browser settings
9. Security
- All data is encrypted in transit (TLS/HTTPS)
- Passwords are hashed using industry-standard algorithms
- Database access is restricted and monitored
- Regular security audits and vulnerability assessments
- Row-Level Security (RLS) ensures data isolation between customers
10. Saudi Arabia Compliance (PDPL)
For customers operating in Saudi Arabia, we comply with the Personal Data Protection Law (PDPL):
- Data is processed with your consent
- You have the right to access, correct, and delete your data
- We implement appropriate technical and organisational measures
- Cross-border data transfers are conducted with adequate safeguards
11. Children
Preplix is not intended for use by individuals under 18 years of age. We do not knowingly collect data from minors.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification. The "Last updated" date at the top reflects the most recent revision.
